Website and intranet project management

The UCL Fire Safety webpages are used to inform staff and students about how fire safety is implemented at UCL. In addition, there are safety documents and templates staff need to help implement UCL’s standards in their departments.

The current website was hard to navigate, was overly technical and many of the documents were out-of-date or missing. Fire Safety team members’ time was regularly taken up by emailing documents on an individual enquiry basis.

Amy approached That Web Person to help her overhaul the website and improve the user experience.

An initial review identified that only some content needed to be publically visible. Most of the documents only needed to be available to staff and students. This allowed us to focus the website content on elements that mattered to external audiences.

A new navigational structure was proposed and pages were re-written in more everyday language. Clear calls to action or related content were presented, allowing the user to browse to learn more.

SharePoint was used to create an intranet site for staff and students. This space was used to promote events, news, technical notes, standards, training etc.

The excellent document management listing system in-built into SharePoint allowed detailed categorisation, tagging and labelling of documents making it easier for the Safety Team to file them and users to search for them.

Key achievements

  • Revamped external UCL Fire pages for mandatory fire safety information.

  • New staff and student-only intranet for important fire safety documents for UCL buildings.

  • User-friendly, plain-speaking, accessible website for staff and students.

  • Training and manuals to ensure the website is easy to keep up to date and maintain.

When I first approached Reena about my new project for redeveloping our Fire Safety Webpages she was nothing but positive and encouraging about the results we would have at the end, whereas I was so apprehensive due to the amount of information we needed to sieve through, organised and portray in a more accessible way.

Reena helped me to achieve webpages that were simple and informative and more user-friendly to visually look at.

As a result of these pages, we now have reduced queries and an easy way of wayfinding for our users.

Reena is incredible, I thank her entirely for all her support over the years
